Dealing with Spam Complaints (and How to Keep Them Below 0.1%)

A spam complaint occurs when a recipient clicks the “Report Spam” button in their email client. While one or two complaints are normal, ISPs like Gmail and Yahoo have a zero-tolerance policy for high rates. If your complaint rate exceeds 0.1% (1 complaint per 1,000 emails), your deliverability will tank.

1. Why People Mark You as Spam

It’s not always because you are actually “spamming.” Often, it’s a failure in communication or expectations.

  • They forgot you: If you haven’t emailed your list in 4 months and suddenly blast them, they won’t remember opting in.
  • Too many emails: Sending 3 emails a day can annoy even your biggest fans.
  • Hard to Unsubscribe: If they can’t find the “Unsubscribe” link quickly, they will use the “Report Spam” button as a shortcut to get rid of you.

The 0.3% Cliff: If your complaint rate reaches 0.3%, Gmail may stop delivering your emails entirely. At this level, your domain reputation is considered “Bad,” and recovery can take months.

2. How to Keep Your Rate Below 0.1%

To maintain a pristine reputation, follow these industry-standard safety measures:

  • Use Double Opt-In: Ensure users verify their email before joining your list. This filters out bots and people who aren’t truly interested.
  • Make Unsubscribing Easy: Don’t hide the link. Place it clearly in the footer, and consider adding it to the header. A “Goodbye” is better than a “Spam Report.”
  • Consistent Brand Name: Make sure your “From Name” matches the name they saw on your landing page. If they signed up at Onyx Store, don’t send emails from Sasha’s Personal Blog.

3. Monitoring Your Reputation

You shouldn’t wait for your delivery to fail to find out you have a problem.

  • Feedback Loops (FBL): Sendonyx is registered with major ISP Feedback Loops. When someone marks you as spam, we automatically remove them from your list to prevent further damage.
  • Google Postmaster Tools: This is the only way to see your “true” spam rate as Gmail sees it. Add your domain to Postmaster Tools immediately.
